Minutes of the meeting held on Wednesday 6th February 2008-02-07

Matters Arising

 

 

 

 

Presentation Night is now confirmed as 22/2/08. To be held at Ewenny and Corntown Cricket Club.  Hall has been booked and disco arranged.  WH and KB have organised trophies and certificates.  Those involved agreed to arrange return of last years trophies in time for the Presentation Night.  Only food allowed will be peanuts and crisps.  After discussion agreed entry at £2.50 per person.

Action Point:  DW to purchase food.  Co-Ords to sell tickets at training. WH, MD, JW and OO to arrange return of trophies.

 

 

Child protection courses still need to be organised through Sportscoach UK .  Club will sponsor Nipper Coaches by purchasing the manual for them at a cost of £10 each (once they have attended the course).

Action Point:  DW to make enquiries about available courses.

 

 

Kracka boards should be arriving sometime during July – Ongoing

 

 

 

A list of contact numbers for Senior and Junior members has been passed to CJ. – Completed

 

 

 

RD’s work will hopefully hold a dress down day to raise funds for the club – Ongoing

 

 

 

Email circulation lists for newsletters etc. are currently at about 50% - Ongoing

Action Point:  Co-Ords to ensure forms have gone out to all members

 

 

WH to price tent/marquee for the beach from money donated from the channel paddle – Ongoing

 

 

 

WH has arranged disposal of old oxygen cylinders, just awaiting collection – Ongoing

 

 

 

DW has contacted the Vale of Glamorgan Council to try and clarify position regarding ownership of the buildings.  Awaiting reply. -  Ongoing

 

 

 

Team building day for seniors.  TD still to gauge interest amongst Seniors.  Many present expressed an interest. - Ongoing

Action Point:  PC to email TD to advise interest.

 

 

Former discipline problems – KB to oversee issue of club rules to all members- Ongoing.

Club T shirts sales are ongoing – Completed

 

 

 

Dolygaer- Further discussion/planning required - Ongoing

 

 

 

Sponsored Pyjama Swim to be held in Friday session this week.  Thursday session to arranged.

Action Point: CL to organise sponsored swim when able.

 

 

Considerable discussion took place about the possibility of future “Competitor of the Year” awards.  It was agreed that all points from club, ranking and other events should count towards these awards.  One award per age group would be given as male and female competitors have equal opportunities for amassing points.

Action Point: CJ and section co-ords to record points throughout the year.

 

 

Any Other Business

 

 

 

CJ - Welsh Stillwater Entries need to be sorted urgently.  Following a vote there was a majority agreement, that the requirement for competitors to have logged 16 hours patrolling would be waived for this event.  Also pool time for training to be arranged.

Action Point: CJ agreed to ring around members to assess interest and to complete entries.

 

 

 

DW -  Wished to record his thanks to WH and KB for the extensive work and efforts that they have put into Senior training.

 

 

 

CL -  Has spoken to all at Senior training about discipline issues and is now happy that sessions are running effectively. 

 

 

 

Also asked for improved communication between co-ords to ensure everyone knew what was happening! WH made point that there had been a co ordinators meeting but unfortunately CL had been unable to attend.

 

Action Point: Co-ords to maintain contact.

 

 

JW – Asked about the possibility of restarting weekend training sessions.  Difficult at present due to limited numbers of coaches.  CL said that she would try and assist. - Ongoing

 

JH – Asked whether worth cancelling Sunday session due to Mini Leagues.  CL to speak to RD to see if shee could cover.  If not session to be cancelled and members informed ASAP.

 

 

 

Pool has been booked for 2 sessions until May so could possibly use second session for comp training. Probably worth cancelling second session for next year. – Ongoing

 

PC -  RLSS membership has now been renewed at a cost of £41.25.  

 

 

 

Five new stopwatches have been received from the Tesco “Sport for Schools” scheme. 

 

 

 

SLSA Wales have advised that non-active members do not need to be insured. However they advise that parent helpers should be insured.  It was suggested that membership could be offered to parent helpers at “cost price” i.e £12 to cover SLSA Wales membership.

 

Action Point: Co-Ords to discuss with parent helpers in each section to assess interest.

 

 

CRB self certification forms have been distributed.  At present approximately half have been returned.

Action Point:  PC to chase outstanding forms.

 

 

WH -  Nipper Stillwaters were a great success with Southerndown winning a possible three medals. Although overall it was a good event there were problems with age groupings and a complaint will be raised with SLSA Wales. 

 

 

 

P.S.  3 medals now confirmed and Southerndown in overall 9th position.  Many thanks to Karen Bown, Ceri Lougher and Nic Howell for their help on the day.

 

 

 

One Southerndown member may be attending the SLSA Wales Youth Development course in Spain .

 

 

 

Charity Commission returns were not submitted on time.  RH has dealt with the situation but it is essential that next years secretary deals with the return on time.

 

 

 

Gift Aid returns do not appear to have been submitted .   RH is now dealing. 

 

 

 

Trophies need to be returned in time for the presentation night as per the earlier minute.  WH asked for further nominations to be emailed in ASAP.  Nominations are required for:  Most Improved Nipper/ Outstanding Nipper/ Most Improved Junior/ Junior Captain/ Most Improved Senior/ Senior Captain/ IRB Award/ Loyalty Award/ Ed Evans Award.

Action Point: All committee to email nominations to WH

 

 

Members training in sessions out of normal age group. (e.g. Nippers swimming in Thursday sessions etc.).

Action Point:  Co-Ords to ensure continuity between sessions regarding awards etc.  Co-ords also to ensure parents are aware that members remain in the same section even when swimming in different sessions.

 

 

WH asked for permission to have dual membership of Southerndown and Porthmawr to enable him to compete in the World Championships in Germany . – Agreed

 

 

 

Patrols – Lengthy discussions took place about the level  and structure of patrolling needed for 2008.  No decision was reached but all Seniors should email WH with suggestions.

Action Point: All seniors to consider how best to arrange beach patrols and advise WH.

 

 

NARS – WH and KB unable to commit to running NARS courses alone this year but will assist when able.  CL said she would consider running a course if she had support for her role as Senior Co-Ord.  MD agreed to assist CL.

 

Action Point:  CL and MD to liase. 

 

 

WH asked everyone to consider the position regarding GB competitions due to the current situation with the Wales/GB relationship.  There was a majority agreement that any decision to compete at GB level should be down to individual members and not dictated by the club.

 

 

 

WH is now Chairman elect and KB Secretary of SLSA Wales Technical Commission.

 

 

 

SLSA Wales Sports commission -  Decision has been taken that points scoring will change to a league system which will be advantageous to smaller clubs.

 

 

 

Welsh Lifeguard Championships to be held on 16-17 August 2008.  Venue required!

 

 

 

Proposed ski race from Porthcawl to Barry on 1/6/08, more details to follow. As yet this race has not been sanctioned by SLSA Wales.
